Gig Advance

The advance is the pre-show exchange that pins down the practical details: when to load in, who brings the PA, where to park, who to find on the day. Gig Advance gives that exchange a home — fill the day sheet on the gig, ask the organiser for the answers only they have, and share one read-only brief link the whole lineup can read.

  1. Open a gig from the calendar — the Gig Advance section sits on the event page (gigs only; rehearsals get a rehearsal plan instead)
  2. The advance is created the first time the section opens, prefilled with what the gig already knows — load-in, soundcheck, parking, and the organiser contact
  3. Fill in the fields and tap Save Details. Answers that come in by phone or in person go straight onto the advance, no form needed
  4. Tap Share Brief to send the day sheet — Copy Brief puts the whole sheet on your clipboard as text for a group chat, and the Public brief link is the read-only version anyone can open in a browser. When the organiser still owes you details, the same dialog has a Request link to send them

Non-editors don’t see the editor. The band editors fill the advance and send the brief link — that link is how the rest of the lineup, and the promoter, read the day sheet.

The brief is the band-facing result made shareable: every shared field that has a value, grouped by section, with the gig’s title, date, location, and linked setlist across the top. Two ways to send it, both from the Share Brief dialog:

  • Copy Brief puts the whole day sheet on your clipboard as text — the gig header, each section with its details, the setlist summary, and the brief link at the end. Paste it straight into a group chat and the lineup reads the sheet inline, with the link there to open the live version.

  • Public brief link — its Copy button puts just the brief’s URL on your clipboard. Dropped into a chat, the link preview names the band, gig, date, and location rather than a generic card — so the message says which show it is at a glance.

  • Read-only. Anyone with the link reads the day sheet; only editors change it, back in the app. No account needed to open it.

  • The fee stays off it. Internal fields — the fee and payment method, guest-list spots, stage power — never reach the brief. Only shared fields do.

  • Print or Save as PDF. The page is print-friendly, so the same link becomes a sheet for the stage floor or the van.

Copy Brief is available once the day sheet has finished saving your latest edits, so the text you paste always matches what’s on the gig.

Replace Link rotates the brief’s token behind a confirmation. The old link — and the organiser Request link, which shares the same token — stops working, so anyone you’d already sent it to loses access. Use it to revoke a link that went to the wrong person.

Some fields are the organiser’s to answer — load-in access, the on-site contact, whether there’s an engineer. The Request link in the Share Brief dialog puts a public form URL on your clipboard for a text or chat message. The organiser needs no account: the form shows the gig’s title, date, and location, any band-provided details read-only, then the fields to fill grouped by section, and a Send Details button. Every field is optional, and the organiser can reopen the link later to correct or complete their answers.

Details already on the gig — load-in and soundcheck times, parking notes, the organiser contact — appear pre-filled as suggestions the organiser can adjust rather than blank fields to retype. Their answers land straight on the advance.

Already emailing the organiser in the Shared Mailbox? Link the thread to the gig and use the Advance button in the reply composer to drop the request link into your message — the same link the Request link row gives you.

The Request link and the brief share one token. Replace Link rotates both at once, so revoking a brief also kills the organiser form, and the other way around.

The fields a new advance starts from live in Settings > Band > Gig Advance. Toggle the presets the band uses and add your own — each field takes a name, a section, a type (text, long text, time, number, yes/no, dropdown, or contact), and a direction: whether the organiser provides the answer or the band does.

Every field is either shared or internal. Shared fields end up on the brief; internal ones — Stage Power, Guest List Spots, and the fee by default — stay between the editors running the advance, never on the shared link.
